About the position
The External Affairs team is seeking a Coordinator to provide temporary backfill support to the External Affairs Coordinator during their parental leave. The Coordinator will work a 50% schedule and ensure continuity of administrative and coordination functions to maintain operational efficiency and team support for a one year term between August 2025 and July 2026.

Compensation Starting Salary Range: $35 to $38 per hour
Responsibilities
Executive Support to the Chief of External Affairs – 25% (5 hours per week)
- Plans and coordinates the day-to-day schedule for Malala Fund’s Chief External Affairs Officer.
- Compiles and helps prepare pre-read documents, interview briefs and trip books to ensure the Chief of External Affairs is well prepared for all meetings and events.
- Provides logistical support for travel, including booking travel, hotels, visas.
- Prepares monthly expense reports in accordance with internal policies and timelines.
- Assist with other coordination or administrative tasks as assigned by the department lead or designate.
Departmental Administrative Support 25% (5 hours per week)
- Process approximately two additional expense reports per month in accordance with internal policies and timelines.
- Book travel arrangements for staff as needed, including flights, accommodations, and local transportation, ensuring cost-effectiveness and compliance with travel policies.
- Organize and maintain digital files and documentation within the team’s shared drive, ensuring logical structure, version control, and accessibility.
- Conduct light research to support ad hoc projects, summarizing findings and providing relevant resources or recommendations.
Departmental Coordination 25% (5 hours per week)
- Schedule both recurring and ad hoc team meetings, ensuring availability of required participants and resources.
- Prepare and distribute meeting agendas when required.
- Attend meetings as needed to take accurate and concise notes, and document and circulate action items.
- Draft correspondence and memos related to department-wide objectives.
Project Management Support 25% (5 hours per week)
- Provide light project management support for major team initiatives, including tracking timelines, milestones, and deliverables.
- Proactively follow up on action items, liaising with relevant team members to ensure progress
- Draft and maintain workback plans and trackers for department-wide projects.

- Timely processing of all monthly expense reports.
- Calendar management and smooth facilitation of team and Chief’s meetings.
- Accurate meeting notes with clear action items.
- Updated shared drive and project tracking documentation.
- Timely travel bookings and itineraries.
