Job Title: Admin Support
Location: Gombe
Rationale
- To ensure smooth administrative functions for effective management of the round 2 AZM MDA implementation in Gombe state and timely conclusion of vendor and personnel payments, there is the need for an experienced Admin support (TA) to be engaged to support Gombe office operations unit.
- The limited number of staff in the Operations Unit and load of work stretches the staff and creates lax in response time. Therefore, there is the urgent need to engage an Admin support (TA) to support the office operations team in ensuring, ease of workload, fast-track conclusion of processes to enable full documentation and payment of vendors, and resolve pending administrative tasks.
Purpose of the assignment
- To provide admin and operational support to Gombe state office Operations unit as per table below Scope
- The engaged TA would offer services and support during the period of engagement along the specified areas as below.
Specific Activities for the Admin Support Staff:
Provides administrative support in Gombe State office under the SARMAAN-II Project:
- Liaise with the Procurement & Admin Officer in coordinating vendor retirements and payments and administrative tasks for SARMAAN II project
- Review, scanning, and printing support documents for AZM MDA related procurement and payment
- Ensures proper filing of AZM MDA related support documents for payments
- Maintain an up-to-date filing and documentation system (both hard and soft copies) for project administrative records.
- Maintain inventory of project materials, stationery, and supplies, ensuring accountability.
- Carry out other duties as may be assigned.
Deliverables:
At the end of the assignment, the expected deliverables include:
Admin/Operations TA:
- Ensure completeness of documentation for all final vendor payments
- Assignment report on the status of all vendor payments
- Submit a compiled record of all administrative and logistical activities supported during the engagement.
- Handover of all project files, documentation, and electronic data to the State Project Manager or designated officer.
Profile Requirements of TAs
Admin / Operations:
- Bachelor’s Degree in any discipline, preferably the Social or Management Sciences.
- At least 1-year experience in a similar role.
- Good use of Microsoft Office Suite
- Good interpersonal, communication and planning skills.
- Previous experience in office administrative support; and
- Possess good understanding, knowledge and experience in document control and management.
