Job Description
- The Project Support Person for the Chief Operations Officer will provide high-level administrative, operational, analytical, and coordination support to the COO.
- The successful candidate will act as an extension of the COO, helping to push the implementation of systems, coordinate priorities across departments and projects, track organisational commitments, prepare management information, follow up on decisions, and ensure that important actions move from discussion to completion.
Responsibilities
- Provide high-level administrative and executive support to the COO, including calendar, meetings, travel, and correspondence.
- Prepare agendas, presentations, briefing notes, reports, minutes, and other management documents.
- Track the COO’s priorities, decisions, action points, deadlines, and follow-ups across the organisation.
- Coordinate activities across departments, programmes, country teams, and other stakeholders.
- Monitor key projects, deliverables, milestones, risks, and operational deadlines.
- Prepare and maintain operational dashboards, trackers, KPIs, and regular management reports.
- Conduct research and analysis to support the COO’s strategic and operational decision-making.
- Support leadership meetings and ensure decisions are communicated and implemented effectively.
- Identify operational bottlenecks, risks, and opportunities for improvement, escalating issues when necessary.
- Maintain confidential records and support the development of efficient systems, processes, and standard operating procedures.
Requirements
The role will suit a highly organised, proactive, analytical individual who can work across multiple teams and projects, communicate effectively with senior colleagues, and handle confidential information with discretion.
- The ideal candidate will hold a Bachelor’s Degree in Business Administration, Management, Public Administration, Development Studies, Social Sciences, Health Administration, or a related discipline, with up to 5 years of relevant professional experience in executive support, operations, project coordination, consulting, programme management, or similar.
- The ideal candidate will have experience in supporting a senior executive, director, programme leader, or management team.
- Experience working in an NGO, social enterprise, consulting organisation, development organisation, or other multi-project environment would be an advantage.
- The ideal candidate will have excellent written and verbal communication skills, with fluency in English.
- Knowledge of French or Portuguese is an added advantage.
- The candidate will possess good interpersonal skills, strong organisational, time-management, and prioritisation skills, and proficiency in Microsoft Office Suite and other relevant software applications.
- The ideal candidate will be able to work independently and as part of a team, will be comfortable showing flexibility and adaptability to handle diverse tasks and changing priorities, show attention to detail, and have the ability to handle sensitive information with confidentiality.
