We are  recruiting to fill the position below:

 Job Title: Warehouse Officer

Location: Katsina

Key Responsibilities

  • Receive and verify all incoming and outgoing goods, ensuring accuracy in quality, quantity, and documentation.
  • Immediately report any discrepancies, damages, or documentation issues.
  • Maintain accurate stock records, including SFU, bin cards, stock cards, and other inventory documents.
  • Monitor minimum stock levels, anticipate shortages, and report replenishment needs.
  • Review stock thresholds monthly based on consumption trends.
  • Conduct monthly physical inventory counts and submit Stock Follow-Up (SFU) reports.
  • Identify slow-moving, obsolete, or unused stock and report accordingly.
  • Ensure programme stock is released before the expiry of the relevant grant period.
  • Monitor expiry dates of food, medicines, and other time-sensitive items, ensuring proper stock rotation and timely reporting of items approaching expiry.

Warehouse Operations & Storage Management:

  • Control access to warehouse facilities and maintain custody of storage keys, including proper surrender/submission of keys to designated authorities
  • Ensure compliance with ACF KitLogV3 storage procedures and warehouse standards.
  • Maintain clean, organized, ventilated, and accessible storage facilities.
  • Ensure stock is arranged for efficient storage, counting, and movement.
  • Conduct and record daily temperature and humidity monitoring.
  • Separate food items from non-food items and ensure safe storage of hazardous materials.
  • Manage damaged, infected, or contaminated products, ensuring proper segregation and documentation.
  • Coordinate disposal of expired or infected products in collaboration with relevant stakeholders.
  • Ensure warehouses remain free from pests and coordinate fumigation activities when required.

Documentation & Dispatch Management:

  • Process and maintain all warehouse documentation, including Stock Request Orders (SROs), Delivery Notes (DNs), and Waybills in line with established procedures.
  • Ensure stock owners physically verify requested items and sign all required documentation before release.

Team Supervision & Support:

  • Supervise the daily activities of warehouse assistants and casual laborers.
  • Oversee loading and unloading operations, including labor requests, attendance tracking, and payment verification.
  • Ensure team members understand and comply with organizational policies, procedures, and warehouse standards.
  • Provide operational support whenever required and act as backup for team members during absences or staffing gaps.

 

Coordination & Reporting:

  • Maintain effective communication with procurement teams to track deliveries and anticipate incoming stock.
  • Report warehouse challenges, risks, and operational issues to the Logistics  Manager in a timely manner.
  • Support continuous improvement of warehouse operations and inventory management processes.

Additional Responsibilities:

  • This job description is not intended to be all inclusive and the employee will also perform other related tasks as required and responsible for reporting and communication of progress and achievement of the specific assigned task.
  • Maintenance of high technical standards.
  • Conduct all duties in a professional manner following ACF Nigeria mission staff regulations, ACF mandate and charter including promotion of gender equality.

Position Requirements

  • Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • Minimum of 3 years’ experience in stock/warehouse management, preferably within an I/NGO environment.
  • Good knowledge of warehouse and inventory management practices.
  • Proficiency in Microsoft Office, particularly Excel.
  • Strong organizational, record-keeping, analytical, and communication skills.
  • Ability to prioritize tasks, work independently, manage multiple responsibilities, and perform effectively under pressure.
  • High level of integrity, accountability, and professionalism.
  • Good command of written and spoken English; knowledge of Hausa
  • Flexible and able to work in challenging and insecure environments.
