Role View
The Office Manager supports the smooth running of the office under the Director, Programme Performance Audit. Main duties include welcoming visitors, handling calls, managing appointments and schedules, preparing correspondence, maintaining documents, and responding to administrative needs.
KEY RESPONSIBILITIES
- Manage the supervisor’s diary, schedule and appointments.
- Receive and welcome visitors and handle telephone calls.
- Organize meetings and meeting-room bookings.
- Draft and follow up on administrative correspondence.
- Manage incoming and outgoing mail.
- Maintain filing, e-archiving and e-filing systems.
- Follow up documents requiring signatures or approval.
- Assist colleagues with administrative tasks.
- Perform other duties assigned by the supervisor.
EDUCATIONAL QUALIFICATION
- HND or equivalent in Secretarial Studies, Business Administration, Public Administration, Office Management or a related field from a recognized institution.
- Professional certification in Office Administration or Administrative Management is an added advantage.
EXPERIENCE
- Six (6) years of progressively responsible experience in administrative/secretarial services.
- Experience may include maintaining personnel and financial records and supporting planning or implementation activities.
- Knowledge of administrative policies, procedures and processes.
- Knowledge of computer software and electronic filing systems.
- Ability to prepare and manage administrative documents and templates.
- Ability to exercise sound judgment and make reasonable decisions with limited supervision.
AGE LIMIT
Below 35 years old. This age requirement does not apply to internal candidates.
LANGUAGE REQUIREMENT
Candidates must be fluent in two of ECOWAS’s three official languages:
- English
- French
- Portuguese
Knowledge of an additional official language is an advantage.
COMPUTER SKILLS
Knowledge/proficiency in:
- Microsoft Office
- Word processing
- Excel/spreadsheets
- PowerPoint
- ECM/electronic filing systems
- Email and internet/intranet tools
- Other relevant ECOWAS software
ASSESSMENT
Qualified candidates may be assessed through a written exercise and competency-based interview.
