Job Title State Coordinator
Locations: Ekiti, Kaduna, Kano, Gombe, Jigawa.
Role Overview
The State Coordinator is a state-level program implementation and coordination role responsible for supporting AISID (Ace Initiative for Social Impact and Development)’s programs at subnational level. The role provides hands-on support for program implementation, stakeholder coordination, monitoring of activities and deliverables, data and performance tracking, documentation, reporting, and identification and resolution of implementation bottlenecks.
The State Coordinator will work closely with the Associate and Analyst to ensure that program activities are effectively coordinated and implemented at state level, while maintaining strong engagement with relevant government institutions, health facilities, implementing partners and other program stakeholders.
The role requires strong program management, analytical, communication and stakeholder engagement skills, with the ability to work independently and coordinate multiple activities across a complex implementation environment.
Scope of the Role
The role covers:
- Program Implementation & Coordination: Supporting the planning, coordination and implementation of program activities at state level.
- Monitoring & Performance Tracking: Tracking program activities, milestones, indicators and deliverables and identifying implementation gaps.
- Stakeholder Engagement & Coordination: Supporting engagement and coordination with government, health facilities, partners and other relevant stakeholders
- Data Management & Analysis: Supporting the collection, review, validation and analysis of program data to inform implementation and decision-making.
- Reporting & Documentation: Preparing timely program updates, field reports, meeting records, presentations and other documentation
- Risk, Issue & Action Management: Identifying implementation risks and bottlenecks, tracking agreed actions and escalating issues requiring management attention.
Authority
The State Coordinator is authorized to:
- Coordinate assigned state-level program activities and follow up with relevant stakeholders on agreed actions and deliverables.
- Request and compile program information required for routine implementation monitoring and reporting.
- Convene or support program coordination meetings and document agreed actions, timelines and responsibilities.
- Identify implementation gaps, risks and bottlenecks and recommend appropriate corrective actions.
- Escalate unresolved implementation, stakeholder or performance issues to the Associate.
- Represent AISID at assigned state-level program engagements, meetings and field activities, as delegated.
4. Key Responsibilities
A. Program Implementation & Coordination
- Support implementation of approved program activities at state level.
- Translate workplans into actionable state-level activities and timelines.
- Track activities, milestones and deliverables.
- Coordinate follow-up across program teams and implementing partners.
- Support state-level meetings, trainings, workshops and field activities.
Deliverables:
Updated implementation trackers and workplans; activity updates; action trackers; coordination records.
B. Monitoring & Performance Tracking
- Monitor program activities against agreed targets, milestones and timelines.
- Track implementation progress and identify delays, gaps and bottlenecks.
- Support routine facility and field monitoring.
- Verify implementation status and follow up on outstanding activities.
- Escalate performance issues requiring management attention.
Deliverables:
Performance trackers; monitoring updates; facility/field monitoring reports; documented follow-up actions.
C. Stakeholder Engagement & Coordination
- Support engagement with relevant state government institutions, health facilities, implementing partners and other stakeholders.
- Coordinate routine communication and follow-up with state-level stakeholders.
- Support stakeholder meetings and document decisions and action points.
- Maintain records of stakeholder engagements and commitments

D. Program Data &Performance Management
- Support the collection and compilation of program implementation data.
- Review program data for completeness and consistency.
- Maintain program performance trackers and databases.
- Support basic analysis of implementation and performance data for program monitoring.
- Work with the Analyst to ensure timely availability of information for program reviews and reporting.
Deliverables:
Updated program databases and trackers, data quality checks, performance summaries, data inputs for program reviews.
E. Reporting & Documentation
- Prepare routine state-level implementation updates.
- Prepare field visit reports, activity reports, meeting minutes and presentations.
- Provide timely inputs into program, management and donor reports.
- Maintain accurate records of program activities, deliverables and decisions.
- Support documentation of implementation progress and lessons from program delivery.

State-level updates; field and activity reports; meeting records; presentations; inputs to program and donor reports.
F. Risk, Issue &Action Management
- Identify implementation risks, challenges and bottlenecks.
- Maintain risk, issue and action trackers.
- Follow up with responsible persons or stakeholders on agreed mitigation actions.
- Escalate unresolved or high-priority issues to the Associate.
- Monitor progress towards resolution of identified issues.
Deliverables:
Updated risk and issue trackers; mitigation/action plans; escalation notes; resolution updates.
Reporting Lines
- Reports directly to the Associate, AISID, who is responsible for overall supervision, performance management, work planning and review of deliverables.
- Works closely with the Analyst on day-to-day program implementation, monitoring, data tracking, documentation and follow-up of state-level activities.
- Coordinates with relevant AISID program, research, monitoring, operations and other functional teams as required.
- Engages with government institutions, health facilities, implementing partners and other stakeholders in line with assigned responsibilities.
- May provide day-to-day guidance and oversight to Project Intern(s) assigned to support state-level activities.
Qualifications & Requirements
Education
Bachelor’s degree in public health, Health Sciences, Social Sciences, Development Studies, Economics, Statistics, Management, Project Management or a related field.
A Master’s degree or relevant postgraduate qualification will be an advantage.
Experience
- Minimum of 4 years of relevant professional experience in program implementation, project coordination, monitoring and evaluation, health systems strengthening or development program.
- Demonstrated experience supporting program at state or subnational level.
- Experience coordinating multiple activities, teams or stakeholders within a program environment.
- Experience engaging with government institutions, health facilities, development partners, NGOs or other program stakeholders.
- Experience with program monitoring, performance tracking, reporting and data management.
- Experience working on donor-funded or multi-partner program will be an advantage.
- Experience in maternal, newborn and child health (MNCH) programs, particularly at state or facility level, will be an added advantage.
Skills & Competencies
- Strong program coordination and implementation management skills.
- Ability to monitor multiple activities, deliverables and timelines simultaneously.
- Fluency in English and Yoruba, with the ability to communicate effectively with relevant stakeholders in the state.
- Strong analytical and problem-solving skills, with the ability to identify implementation gaps and propose practical solutions.
- Strong report writing, documentation and presentation skills.
- Strong organisational and planning skills, with exceptional attention to detail.
- Ability to work independently while collaborating effectively with multidisciplinary teams.
- Strong communication and facilitation skills.
- Proficiency in Microsoft Office Suite, particularly Excel, Word and PowerPoint.
- Familiarity with digital data collection and program monitoring tools such as Kobo Collect, ODK, SurveyCTO or similar platforms will be an advantage.
- Familiarity with DHIS2 or other routine health information systems will be an advantage.
- Ability and willingness to travel within the assigned state and occasionally to other locations as required.
Working Conditions
- The role will involve a combination of office-based coordination, stakeholder engagement and field-level program activities.
- Regular engagement with government institutions, health facilities, implementing partners and other program stakeholders will be required.
- May require travel within the assigned state and occasional domestic travel.
- May require flexibility outside standard working hours during major program activities, trainings, workshops or other time-sensitive engagements.
- The role requires a high level of professionalism, confidentiality, adaptability and responsiveness in a dynamic program environment.
