We are  recruiting to fill the position below:

Job Title: Human Resources Officer

Location: Katsina

 

Key Responsibilities:

  • Coordinate the timely preparation, processing, communication and filing of employment contracts and contract amendments, ensuring compliance with HR policies and procedures;
  • Ensure that all employee separation processes are completed in compliance with organizational procedures, with accurate and timely preparations, recording and filing of end of contract documentation;
  • Conduct exit Interviews for designated categories of staff; and provide relevant feedback and reports as required;
  • Monitor and ensure that employee objectives and probationary evaluation forms are completed and submitted to HR Abuja within the established deadlines;
  • Providing comprehensive administrative and operational support to the base as required;
  • Maintain and update the payroll database on an ongoing basis, ensuring all employee additions, deletions, and changes are accurately captured, supported by the appropriate documentation and properly filed;
  • Prepare and submit the finalized monthly payroll database to the HR Manager or appropriate person within the required timeframe;
  • Ensure all time sheets and pay slips are duly signed, received, tracked and systematically filed for audit and record keeping purposes;
  • Support the implementation of a standardized staff induction and briefing process across the mission, ensuring newly recruited employees receive the required orientation;
  • Support the implementation of a uniform briefing process across the mission and ensure that it is provided for all new staff;
  • Facilitate and coordinate staff training sessions on HR policies, procedures and related topics;
  • Support the effective implementation and consistent application of HR policies at the base, providing guidance/advice and assistance to employees and managers when required;
  • Proactively identify opportunities to strengthen HR practices and recommend improvements to enhance efficiency and service delivery at the Base.
  • Ensure the timely dissemination of HR-related communications, notices, and updates to all staff.
  • Oversee the maintenance and regular updating of Action Against Hunger communication boards to ensure accurate and relevant information is displayed;
  • In collaboration with the HR team in Abuja, develop, maintain  and regularly update  tracking tools and reports for Base HR statistics and workforce data;
  • Liaise with HR Abuja and the medical insurance provider to ensure employee information is updated promptly and accurately whenever changes occur;
  • Supervise and coordinate hotel and guesthouse accommodation arrangements for visitors and staff travelling to the Base.
  • Initiate and follow up on procurement requests for office consumables and supplies, including stationery, refreshments, and other administrative materials, ensuring timely replenishment through the Logistics Department.


Additional Responsibilities

  • This job description is not intended to be all inclusive and the employee will also perform other related tasks as required and responsible for reporting and communication of progress and achievement of the specific assigned task.
  • Maintenance of high technical standards.
  • Conduct all duties in a professional manner following ACF Nigeria mission staff regulations, ACF mandate and charter including promotion of gender equality.


Position Requirements:

  • Bachelor’s degree in Human Resources, Administration, Management, or a related field. A Master’s degree is an advantage.
  • Minimum of 2 years of work experience, including at least 1 year in an HR or administrative role.
  • Basic knowledge of labor laws and HR policies.
  • Strong written and verbal communication skills.
  • Ability to work effectively with people from diverse backgrounds and maintain positive working relationships.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Well-organized, detail-oriented, and able to manage multiple tasks effectively.
  • Self-motivated, reliable, and able to work independently.
  • High level of professionalism and ability to maintain confidentiality.
  • Good analytical, reporting, and problem-solving skills.
  • Previous experience with an international NGO (INGO), especially in the health or humanitarian sector, is an added advantage.
  • Fluency in English and in one or more local languages is desirable.
  • Experience using Homere payroll software is an advantage.
